The agreement between your organization and GrantClock
These terms govern the use of the GrantClock application and this website. They are written to be read by an executive director without a lawyer present. Last updated March 2, 2026.

1. Acceptance of these terms
By opening a GrantClock account, by using the application, or by submitting the request form on this website, you accept these terms on behalf of the organization you represent. If you do not accept them, do not use the service. Where an authorized officer of your organization signs a separate written agreement with MLJ, SASU, that agreement takes precedence over anything written here on the points it covers.
2. What the service is
GrantClock is a hosted web application that tracks a nonprofit's grant portfolio. It records grants and the funders behind them, holds the dated obligations attached to each award, including letters of inquiry, full proposals, interim narrative reports, financial reports, final reports, renewal windows and board review dates, sends reminders to the staff member who owns each date, stores the funder history and produces board and audit exports.
GrantClock is an administrative tracking tool. It is not an accounting system, not a donor relationship database, and not a source of legal, tax or compliance advice. It does not submit anything to a funder on your behalf and it does not log in to any funder portal for you. Deciding what to apply for, what to report and when to report it remains the responsibility of your staff, your board and your auditor.
3. Accounts and eligibility
An account may be opened by an organization or by an individual acting for one, in either case by a person aged 18 or older with authority to bind that organization. You are responsible for the accuracy of the account information, for the confidentiality of the credentials issued to your staff, and for everything done under those credentials. Tell us promptly at jimenezjulien42@gmail.com if you believe an account has been used without authorization. Each staff account belongs to a named person and may not be shared between colleagues.
4. Acceptable use
You agree not to use GrantClock to store unlawful content, to attempt to gain access to another organization's records, to probe or overload the infrastructure, to resell access to a third party, to copy the application for the purpose of building a competing product, or to upload material that infringes someone else's rights. Automated access outside the documented calendar feed and export tools is not permitted. We may suspend an account that is being used in one of these ways, and we will explain why in writing.
5. Subscription and billing
GrantClock is offered on three monthly plans, priced per organization rather than per user: Grassroots at $29 per month for up to 20 active grants and 2 staff accounts, Growing at $69 per month for up to 75 active grants and 6 staff accounts, and Established at $149 per month for unlimited active grants and 15 staff accounts. All prices are in US dollars and exclude any sales or use tax that may apply in your state.
Subscriptions are billed monthly in advance from the date the account opens, and each period renews automatically until it is cancelled. There is no setup fee and no minimum term. If your portfolio grows past the limit of your plan during a month, the upgrade is prorated on the following invoice. Prices may change with at least 30 days of written notice, and a price change never applies to a period already paid for. Invoices are issued in the name of the subscribing organization and are available in the account at any time.
6. Cancellation
You may cancel at any time from the account settings, without contacting us and without giving a reason. Cancellation takes effect at the end of the period you have already paid for, and the account stays fully usable until then. Partial months are not refunded, except where required by law or where a documented service failure justifies it. We may terminate an account for non payment after two written reminders, or immediately for a serious breach of section 4.
7. Ownership of your data
The grant records, funder history, notes and documents you enter remain the property of your organization at all times. You grant MLJ, SASU only the limited license needed to host, back up, display and process that content in order to run the service for you. We do not use your content to train models, we do not share it with funders or with any other subscriber, and we do not mine it for commercial purposes. Aggregated and fully anonymized statistics about product usage may be published, in a form that cannot identify an organization.
You can export everything in CSV at any time while the account is open. After cancellation, the account remains readable for 30 days so that a late export is still possible, and it is then deleted from live systems, with backups aging out within a further 60 days.
8. Availability and support
We target 99.5 percent monthly availability, measured excluding scheduled maintenance, which is announced at least 48 hours ahead and normally runs on a weekend. Support is provided by email at jimenezjulien42@gmail.com with a target first reply of one business day, and priority handling on the Established plan. Reminder emails are sent on a best effort basis through third party mail infrastructure, and you remain responsible for meeting your funder deadlines whether or not a reminder is delivered.
9. Warranty disclaimer
The service is provided as it stands. Beyond the commitments written in these terms, and beyond the warranties that cannot be excluded under applicable law, MLJ, SASU makes no warranty that the service will be uninterrupted, error free, or fit for a particular purpose, and gives no warranty that the deadline templates supplied with the product match every funder's current published requirements. Always verify a date against the funder's own guidelines before relying on it.
10. Limitation of liability
To the maximum extent permitted by law, the total liability of MLJ, SASU arising out of or relating to the service in any 12 month period is limited to the subscription fees paid by your organization during that period. Neither party is liable for indirect or consequential loss, including lost grant funding, lost donations, lost opportunity, or the cost of a missed application or report. Nothing in these terms limits liability for fraud, for willful misconduct, or for any liability that cannot lawfully be limited.
11. Indemnity
You agree to hold MLJ, SASU harmless against third party claims arising from content you upload to the service, from your use of the service in breach of section 4, or from your violation of a law or of a third party's rights in connection with the service. We will tell you promptly about any such claim and give you a reasonable opportunity to take part in the defense.
12. Changes, governing law and contact
These terms may be updated to reflect changes in the product or in the law. Material changes are announced by email to account administrators at least 30 days before they take effect, and continuing to use the service after that date means accepting the new version. The date at the top of this page always shows the current version.
These terms are governed by French law. Any dispute that cannot be resolved amicably will be brought before the competent courts of Paris, France. If any provision is held invalid, the remainder stays in force.
